How to run an RV and boat storage waitlist that fills vacancies fast
Updated October 22, 2026 · For RV and boat storage yards
When covered or large spaces are in demand, the waitlist is your pipeline. But a waitlist kept on paper or in a phone’s notes tends to go stale: people find somewhere else, nobody remembers who asked first, and a 45-foot space sits empty for three weeks while you call around.
Here is how to keep a waitlist that actually fills spaces.
Collect the right details up front
Every entry should let you decide, without a phone call, whether a space fits them.
- Name and phone number (and email if they prefer it).
- What they’re storing: Class A, fifth wheel, travel trailer, boat on trailer.
- The length they need, including tongue and trailer.
- Covered or uncovered, and any must-haves like power or a pull-through.
- When they joined the list.
Match by size, not just by date
First come, first served is fair, but a 30-foot space can’t go to someone with a 42-foot rig. When a space opens, look at the people waiting for that size or smaller, in order of when they joined. Be upfront about this rule so nobody feels skipped.
Offer quickly and set a reply window
- As soon as a tenant gives notice, find the first matching person on the list.
- Offer the space with the size, price and move-in date.
- Give them a clear window to answer, for example 48 hours.
- If they pass or don’t answer, move to the next person.
- Mark who was offered what, so you don’t offer the same space twice.
Clean the list every few months
Send everyone a short message asking whether they still want a space. Remove the ones who don’t answer. A shorter, current list is far more useful than a long one full of people who moved on.
Common questions
- Should I charge to join the waitlist?
- Some yards take a small refundable deposit to keep the list serious. Many don’t. If you do, be clear about when it is refunded.
- How long should someone get to accept an offer?
- Long enough to check their plans, short enough that the space doesn’t sit empty. 24 to 72 hours is common.
